30-day pilot terms
Plain-English terms for the first 30 days of any new managed IT engagement with River Mountain Systems. Public on purpose — read it before you sign.
The exit clause, first
At day 30, either side can end the engagement with no further commitment. You walk with full documentation of every change made, all credentials, and a written runbook of how your environment is configured. We do not hold your data, your tenants, or your network hostage.
What's included in the pilot
- Discovery: full inventory of users, devices, M365/Workspace tenants, network gear, on-prem servers, SaaS licenses, and existing pain points.
- Stabilization: fix the highest-priority issues identified in discovery (typically 3–5 items) within the first two weeks.
- Security baseline: MFA enforcement audit, endpoint protection coverage check, backup verification, password manager rollout if missing.
- Documentation: written runbook of your environment delivered by day 30 regardless of whether you continue.
- Active support: same-day response during business hours (Mon–Fri 8a–6p PT) on any issue raised during the 30 days.
Pricing
- Onboarding fee: $1,500–$3,000 one-time, non-refundable. Covers discovery, tenant setup, agent rollout, and the runbook deliverable. Quoted before you sign.
- Monthly fee: $99 per user per month, 10-user minimum. Billed at the start of the pilot for the 30-day period only.
- Total Day-1 cost: onboarding fee + first month at full rate.
The monthly fee for month one is not refundable at day 30 either — but you can leave with no obligation for month two onward. We do this because the work in month one is real, and we'd rather take the engagement seriously than offer a refund guarantee that creates the wrong incentives on either side.
What we ask of you during the pilot
- One operational point of contact who can authorize changes (admin credentials, vendor calls, employee access).
- Honest feedback at the day-15 check-in — if something is off, we'd rather know on day 15 than at day 29.
- Reasonable cooperation on data collection during discovery (network access, tenant admin, asset list).
What happens at day 30
- If you stay: the engagement converts to month-to-month at the same $99/user/month rate. 30-day notice either way going forward.
- If you leave: we hand you the runbook, every credential, every tenant admin role transferred. We will spend up to 4 hours on offboarding cooperation in the 30 days following exit at no additional charge.
What's not included
- Hardware purchases (workstations, firewalls, servers, switches) — quoted separately.
- Microsoft, Google, Datto, or other third-party licensing — passed through at our cost or your direct billing.
- Project work outside the stabilization scope (e.g., cloud migration, M&A IT consolidation) — quoted as separate engagements.
- Compliance audits (SOC 2, HIPAA Risk Assessment, PCI scope) — referred to specialists.
Insurance + legal
- Hiscox Professional Liability (E&O), $1M each claim / $1M aggregate, in force through 2027-04-06. COI available on request.
- MSA / SOW templates available before signing — Washington State governing law.

These terms are the standard pilot framework as of 2026. Your specific Master Services Agreement and Statement of Work will reflect the terms here plus any project-specific clauses we agree on. If anything in your signed paperwork conflicts with this page, the signed paperwork governs.
