River Mountain Systems (“we”, “us”) is a managed IT services firm based in Vancouver, Washington, serving small and mid-size businesses in the Portland metro area. This policy explains the data we collect from visitors to www.rivermountainsystems.com, how we store it, how long we keep it, and the third parties that process it on our behalf. 1. Data we collect

We collect only what you give us through a form on this site, plus standard analytics about your visit. Specifically:

We do not knowingly collect data from children under 13, and we do not request payment information through this website.

2. How we store it

Form submissions are delivered two ways. First, the contents are sent through Formspree, which forwards the message to Justin’s email at joberg@rivermountainsystems.com. Second, a copy is written to a private Google Sheet via a Google Apps Script endpoint we control. The Sheet lives inside our Google Workspace account and is not shared publicly. Analytics events are stored in the relevant vendor’s platform (Google Analytics, Microsoft Clarity, LinkedIn).

3. How long we keep it

Form submissions in the Google Sheet and in email are retained for twelve (12) months from the date of submission, after which they are deleted unless you have become a client (in which case the contact record moves into our normal client records). You can request earlier deletion at any time — see section 6. Analytics data follows each vendor’s default retention (typically 14 to 26 months for Google Analytics, shorter for Clarity).

This site uses cookies set by Google Analytics, Google Ads, Microsoft Clarity, and LinkedIn Insight Tag for measurement and attribution. Microsoft Clarity may record a sampled portion of sessions (mouse movement, scrolls, clicks, and visible page content) for usability analysis; Clarity automatically masks form input values by default. You can opt out of analytics cookies by using your browser’s tracking-protection or Do Not Track features, or by installing an extension such as the Google Analytics opt-out browser add-on.

6. Your rights — access and deletion

You may ask us at any time what data we hold about you, and you may ask us to delete it. Send the request to joberg@rivermountainsystems.com with the subject line “Privacy request” and include the email address or phone number you used. We respond within thirty (30) days. If you are a California, Washington, or EU resident, you have additional rights (right to know, right to correct, right to portability) under applicable law — the same email address handles those requests.

7. We do not sell your data

River Mountain Systems does not sell, rent, or trade your personal information. We do not share form submissions with third parties for their independent marketing use. The processors listed in section 4 act on our instructions only.

8. Governing law

This policy is governed by the laws of the State of Washington, United States. Any dispute relating to this policy or to data we hold about you will be resolved in the state or federal courts located in Clark County, Washington.
